Cold Outreach Script That Gets Replies

A 3-message sequence tested across multiple industries. Adapt the tone and send.

Most cold outreach fails for the same reason: it leads with what the seller wants instead of what the buyer needs. This 3-message sequence flips that. It has been tested across dental, beauty, consulting, and agency outreach. The structure holds across all of them because it is built on how people actually make decisions.

What's inside

  • Message 1: problem-aware hook, 4 sentences max, no pitch, no features
  • Message 2: one line of social proof, one direct pivot to their specific context
  • Message 3: a low-ask close that makes it easy to say yes without pressure
  • Timing: exact gap between each message for highest open and reply rates
  • Channel notes: what changes for email versus LinkedIn DM versus Instagram DM
  • The one line you should never lead with, and why almost everyone does

Why it works

Reply rates on this sequence run 3 to 5 times higher than the standard template most people use. The reason is structural: each message earns the right to send the next one. It does not try to close immediately. It builds enough trust in 3 messages to get a yes to a conversation, not a yes to a purchase.

Before you send anything

  • The one rule that determines whether outreach works: open with something specific about THEM or a result you produced for someone like THEM.
  • The phrase that kills every cold message: "I help businesses like yours..." followed by a feature list. It is about you, not them. They stop reading immediately.
  • Do not pitch in Message 1. The goal of Message 1 is a reply. Not a sale.
  • Timing matters: Message 1 same day or next morning, Message 2 after 72 hours, Message 3 after 5 more days. Longer gaps reduce response rates.

Email: 3-message sequence

Replace every [BRACKET] before sending. The more specific the detail, the higher the reply rate.

MESSAGE 1 -- Day 1

Subject: [Business Name] -- quick observation

Hi [First Name],

Was looking at [business type] businesses in [city] this week. Noticed [Business Name] does not seem to have [specific thing they are missing -- e.g. "automated follow-up after missed calls" / "a chatbot handling enquiries outside business hours"].

Set this up for a [similar business type] here recently. They were recovering about [X] missed enquiries per week once it was running.

Worth a 20-minute look at whether it makes sense for [Business Name]?

MESSAGE 2 -- Day 4, no reply

Subject: [leave blank to keep in thread]

Hi [First Name],

One thing I should have mentioned: I only take on a few of these each month, so if you are curious now the timing works in your favour.

The [business type] I mentioned -- the specific thing they changed was [one line on what you actually did]. It has been running automatically since [month].

Hi [First Name],

Last note from me. If the timing is off, completely understand.

If it ever makes sense to look at this: [CALENDLY LINK] or reply directly here.

MESSAGE 1

Hi [First Name] -- noticed [Business Name] is active on LinkedIn but does not seem to have [specific thing they are missing].

Set this up for a [similar business] recently. They were losing [X] per week to [the problem]. Fixed in an afternoon.

Happy to show you what it looked like if you are curious.

Following up on my last message.

Quick question: is [specific problem] something you are actively dealing with at [Business Name], or have you already sorted it?

Not pitching. Genuinely curious whether it is a real issue for you right now.

Last one from me on this. Dropping the link here in case timing improves:

Happy to look at your specific setup on a quick call whenever it makes sense.

Conversational and short. Never paste a wall of text.

MESSAGE 1

Hey [Name] -- saw your page. Great [product / service / content].

Quick question: do you have anything set up for when people DM you and you are not online? I help [business type] owners set up auto-responses that capture enquiries while they are busy.

Worth a quick chat if that is something you are not already sorted on?

MESSAGE 2 -- 2 days later

Following up. I know you get a lot of DMs.

What I set up for a [similar business type] recently: auto-response captures the enquiry, qualifies them, books a call -- all without the owner doing anything. Takes about 2 hours to build.

Happy to show you the exact setup: [CALENDLY LINK]

Last note. If this is not the right time, no problem at all.

What to personalise on every send

  • [First Name] -- always use their actual name. Never "Hi there" or "Dear business owner".
  • [specific thing they are missing] -- spend 2 minutes on their website or social before sending. Find one specific gap.
  • [similar business type] -- as close to their niche as possible. "A dental practice" beats "a local business".
  • [the problem] -- as specific as possible. "3 missed calls per day" beats "missed opportunities".
  • [CALENDLY LINK] -- every message. Every channel. Every time.
