Audit Tool
The AI Workflow Audit Checklist
40 checkpoints I use on every engagement. Find where your business loses hours each week.
Most businesses have 15 to 20 hours of automatable work hiding in plain sight. The problem is nobody has mapped it out. This checklist is the exact 40-point framework I run through with every client before touching a single tool or writing a single line of automation.
What's inside
- Communication workflows: email, follow-up, intake, and DM patterns
- Scheduling and calendar management bottlenecks
- Data entry and CRM update processes
- Client onboarding and offboarding sequences
- Reporting and status update cycles
- Content production and approval chains
- For each checkpoint: a yes/no question and the automation that fixes a yes
Why it works
Automation fails when you build before you audit. Most agencies sell you a tool and call it a solution. I audit first, then build only what your specific operation actually needs. This checklist is the audit. Use it yourself, or send it to me and we will run through it together on a call.

How to use this checklist
- Go through every item. Answer yes or no.
- Every "no" is an automation opportunity. Not a problem -- an opportunity.
- Focus on the categories with the most "no" answers first. That is where you are losing the most time.
- After completing it, the 3 categories with the most "no" answers become your priority list.
Communication
8 checkpoints
- New enquiries get a response within 2 hours, consistently, including evenings and weekends.
- There is a standard follow-up sequence that runs automatically after every first contact.
- Missed calls trigger an automatic response within 15 minutes.
- There is a written template for every email type you send more than once a week.
- Clients receive a written summary after every meeting, sent the same day.
- Every proposal or quote has a scheduled follow-up if no response arrives within 48 hours.
- There is a reactivation sequence for leads who went cold in the last 90 days.
- No team member manually copy-pastes the same email more than once a week.
Scheduling
5 checkpoints
- You have a live booking link clients can use without emailing you first.
- Your calendar availability updates automatically without you managing it manually.
- Appointment confirmations and reminders send automatically.

- New appointments sync to your CRM or client record without manual data entry.

- There is a documented onboarding checklist used for every new engagement, without exception.
- Every new client receives access to their documents without someone manually sending them.
- Intake information is collected before the first call, not during it.
- You can describe exactly what happens in the first 48 hours of every new client relationship.

- There is a template for every recurring content type you produce.
- There is a documented process for collecting client testimonials after every completed project.
Admin
5 checkpoints
- Invoices send automatically at project milestones or on a defined schedule.

- There is a documented handoff process covering what happens when you are unavailable.
- Your business could run for 3 days without you making a single operational decision.
What to do with your results
- 0 to 15 checked: High automation opportunity. Most of your time is going to manual tasks that systems should handle. Start with Communication and Scheduling -- those produce the fastest visible results.
- 16 to 28 checked: Partially automated. You have some systems but the gaps are costing you. The unchecked items in the highest-volume areas of your business are your priority.
- 29 to 40 checked: Well-structured. Your operations are in better shape than most. The remaining gaps are optimisation opportunities rather than emergencies.
- Any category with 3 or more unchecked boxes is worth a focused 90-minute session to address. That is usually enough to design and begin implementing the fix.
